Emailing a deal to the negotiator

Email agreement to negotiator sends the deal (agreement/PSA) as a PDF to its negotiator for review — typically the step before the deal goes to the supplier. It is in the deal's action menu, shown to users with edit permission on the deal.

Steps

  1. Open the deal and choose Email agreement to negotiator. The form pre-fills: To with the deal's negotiator, Copy to with you, the subject with the deal's year/reference/supplier, and the message with the site's negotiator email template (placeholders for the deal, contacts, and sender are substituted automatically).
  2. Optionally tick deal documents to attach alongside the generated agreement PDF.
  3. Adjust the message and send.

Result

  • The deal's status becomes moderator (with administrator, on the status scale described in Editing deal core details).
  • The recipient is granted view permission on the deal (their email address is added to the deal's view rules), and the deal is re-indexed so it appears in their searches.
  • The email carries the agreement PDF plus any selected documents, is sent from the site administrator's address (reply-to: you), and is tracked as an email campaign.
  • On sites with electronic sign-off, if the template contains the validate-link placeholder, an open sign-off record is created (or reused) and the email links to the deal; when the negotiator follows it, the email to supplier dialog opens automatically — the expected next step is forwarding to the supplier.

If it fails

  • "No main contact" error on opening — the deal has no supplier main contact set; add one first (Editing deal core details).
  • Sending happens in a background thread — the confirmation only means the send was queued.
