Emailing a deal to the supplier¶
Email agreement to supplier sends the deal (agreement/PSA) as a PDF to the supplier — on electronic sign-off sites this is what invites the supplier to sign. It is in the deal's action menu, shown to users with edit permission on the deal, and opens automatically when a negotiator follows an email-to-negotiator link.
Steps¶
- Open the deal and choose Email agreement to supplier. The form pre-fills: To with the deal's supplier main contact, Copy to with you, the subject with the deal's year/reference/supplier, and the message with the site's supplier email template.
- Optionally tick deal documents to attach alongside the generated agreement PDF.
- Adjust the message and send.
Result¶
- The deal's status becomes supplier (with supplier).
- View permission is granted broadly: the
memberrole and the supplier company's name are added to the deal's view rules — this is the step that makes the deal visible to the supplier's users (who carry their company name as a role) and to members. The deal's document category receives the same grant and its documents are re-indexed. - On electronic sign-off sites, if the message contains the sign-off link placeholder: an open sign-off is created or reused, any previous supplier signature is wiped (changed deals must be re-signed), and the email links directly to the signing page.
- The agreement PDF and selected documents are attached; the send is tracked as an email campaign, from the site administrator's address with reply-to set to you, BCC to the site's sign-off BCC address.
If it fails¶
- "No main contact" error on opening — set a supplier main contact first (Editing deal core details).
- Sending runs in a background thread; confirmation means queued, not delivered.
- Be aware the permission grant is additive and immediate — sending to the supplier publishes the deal to members and the supplier company even if the email itself fails to deliver.
