Building a rebate report

The rebate report builder (sidebar Financials → Rebate Report Builder, /rebate/reportbuilder) is an ad-hoc pivot tool over rebate and turnover data: pick what to break the figures down by, what to sum, and over which period, and it renders a grid you can export to Excel. Reports are run live and are not saved.

The sidebar link requires the member or figures role and a client version of 3.7.0 or later.

Steps

  1. Choose a Display by dimension — member, category, supplier (members only), sub-category, deal, or product range.
  2. Choose the value to sum — payable, rebateable turnover, or paid amount (superusers also get effective rate).
  3. Optionally set a secondary dimension (period end, due date, paid date, member, category, sub-category, or supplier) to pivot across.
  4. Set the date range — or use a quick preset (last 12 months, this year to date) — and optionally tick compare with previous period to get period-over-period columns.
  5. Apply filters: deal category, members, sub-category, supplier, a specific deal element, hide zeros, and (where allowed) projections instead of actuals.
  6. Run report. The grid appears with a totals row; Download exports it to Excel.

Who sees what

The supplier filter and supplier breakdown are shown only to member-role users; effective-rate is superusers-only; the projections toggle needs the projections role and the site's advanced-projections setting. The query applies the same element-permission and figures-vs-member payable gating as the rest of the rebate module.

If it fails

  • The report is empty — your filters exclude everything, or you lack permission on the deals/elements in scope.
  • No supplier breakdown option — that dimension is member-only.
  • Reports are not persisted; re-run to refresh, and export if you need to keep a copy.
